How we handle personal information and the drawings you send us, under Canadian privacy law.

Scope

This policy explains how Guru Machines Inc. collects, uses, discloses and protects personal information in the course of commercial activity, in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA). It applies to this website and to enquiries, quotations and orders that reach us through it.

What we collect

  • Contact details you give us: name, company, job title, telephone number, email address and shipping or billing address.
  • Enquiry content: the description of your part, quantities, timelines and any notes you include.
  • Files you upload or email: drawings, 3D models, specifications and photographs.
  • Correspondence: emails, call notes and quotation history relating to your enquiry.
  • Basic technical information generated when you visit the site, such as the pages requested and general server log data.

Why we collect it

We collect this information to prepare quotations, to manufacture and inspect parts, to deliver and invoice orders, to keep quality and traceability records, and to answer your questions. We do not sell personal information and we do not use it for advertising.

We collect only what we need for these purposes, and we obtain your consent through the act of sending us an enquiry or placing an order. You may withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice.

Drawings and technical data

We treat every drawing, 3D model, specification, sample part and related technical document you send us as confidential commercial information belonging to you. These files are used only to quote, manufacture and inspect your parts.

Access is limited to the people in the shop who need the file to do the work. We do not publish, display, share or reuse your designs for any other customer, and we do not use them in marketing, including in our gallery, without your written permission. Where a job requires an outside process such as heat treatment or plating, only the information necessary for that operation is shared with the supplier.

If your drawings or technical data are subject to export control, controlled goods regulations, or any other restriction on who may access them, contact us before you upload or send anything so we can confirm the correct handling arrangements in advance.

Third parties

We may disclose limited information to service providers who act on our behalf, including outside processing suppliers, material suppliers, freight and courier companies, our email and website hosting providers, and our accounting and banking providers. These parties receive only the information needed for their function and are required to protect it.

The contact page embeds a map served by Google. When that map loads, Google may receive technical information such as your IP address under its own privacy terms. We may also disclose information where required by law.

Retention

We keep personal information and job records only as long as needed for the purpose collected and to meet legal, tax and quality management obligations. Quality and traceability records are retained for the period required by our quality management system. When information is no longer required it is securely destroyed or deleted.

Your rights

You may ask what personal information we hold about you, how it has been used and to whom it has been disclosed. You may ask us to correct information that is inaccurate or incomplete. We will respond within a reasonable time and will explain any case where access must be limited by law.

Security

We protect information with physical, organisational and technical safeguards appropriate to its sensitivity. This includes controlled access to the shop and to our systems, access limited to staff who need the information, encrypted connections to this website, and secure disposal of records that are no longer required.

No method of transmission over the internet is completely secure. If a file is highly sensitive, contact us first and we will agree a suitable transfer method with you.
